Although this information is regarded as essential in order to work effectively in post, the IRCM CIC accepts applications from individuals who aspire to the role.

Your covering letter should highlight your suitability for the role.  This is more important where you may not have prior experience but wish to develop your skills and aspire to the role.
The covering letter is the most important part of your application.  To enable the IRCM CIC to make an accurate assessment of your suitability, you should refer to the Job Description and provide information under appropriate headings.  The information provided must clearly demonstrate how your skills, knowledge, qualifications, training, and experience which will meet both the requirements of the role and the qualities considered essential and desirable in the successful candidate.  Without duplicating your CV, it is important that you highlight points which you may cross-reference to the detail in your CV.

Please do not assume that the panel reviewing your application will be familiar with the type of work/activities you have experienced in the past; so be aware of terminology that may need to be explained as part of your CV detail.

Your covering letter must be no more than two sides of A4.  Your CV may be longer but be aware that only the first two sides of A4 may be reviewed, unless you specifically cross-reference to a position on your CV, in your covering letter.

Confidential References - you are required to submit at least two referees.  Although you may submit more, the IRCM CIC will select the first two.  It would be preferable if one could be from your current and most recent employer/client.  Additional references may be requested.

Inaccurate or incomplete information by an applicant who is appointed will be grounds for termination of contract without notice.

The selection panel will comprise of at least 2 people, and you may be requested to attend more than one interview.

All applicants are contracted to the IRCM CIC and are not employees.  Therefore, where the contract is with a successful applicant who resides within or outside the UK; it is the responsibility of that applicant to ensure that all taxes, etc. are paid in the country they deem as their residence.

In line with the Privacy Note published by the IRCM CIC, the IRCM CIC will retain the personal information of each successful applicant and team member for the regulatory period of time.

What information is collected?

The IRCM CIC collects a range of information about you, which includes:

  • your name, address and contact details, including email address and telephone number;
  • details of your qualifications, skills, experience and employment history;
  • where applicable, information about your current level of remuneration, including benefit entitlements;
  • whether or not you have a disability for which the IRCM CIC needs to be aware of;
  • information about your residence situation; and
  • equal opportunities monitoring information, including information about your ethnic origin, sexual orientation, health, and religion or belief.

The IRCM CIC collects this information through your application form, covering letter, references, and interview.  You may be requested to submit a copy of your passport, utility bills, or other identifying documents or other forms of assessment, and maybe online tests.

The IRCM CIC does not review social media profiles as part of the application process, but reserves the right to monitor social media profiles for those individuals who hold key positions.

The data collected will be stored in a range of different places; your application form, in HR management systems, and on other applicable IT systems.  Data may be retained on emails, both received and sent.

Why is the information collected? 

The IRCM CIC is meeting its legal obligations.

Who has access to the information?

Your information will be received by the HR Department and shared only with those internal members of the team who are involved in the specific role recruitment.  The IT staff will have access to your data through the IRCM CIC's database, but will not use this information, other than verifying it's completeness and security.

The IRCM CIC will not share your data with third parties, unless your role requires this.  Where your role requires your data to be shared with third parties, you will be notified in advance.

Unless required for legal reasons with your residence country, your data will not be shared outside the United Kingdom.

All data held by the IRCM CIC is managed through its internal policies and controls which are in place to ensure that your data is not lost, accidentally destroyed, misused or disclosed, and is not accessed except by those authorised in the proper performance of their duties.

As a data subject, you have the following rights:

  • obtain a copy of your data on request;
  • request the IRCM CIC to change incorrect or incomplete data;
  • request the IRCM CIC to delete or stop processing your data, for example where the data is no longer necessary for the purposes of processing;
  • object to the processing of your data where the IRCM CIC is relying on its legitimate interests as the legal ground for processing; and
  • ask IRCM CIC to stop processing data for a period if the data is inaccurate or there is a dispute about whether or not your interests override the IRCM CIC's legitimate grounds for processing data.

The Department of Accreditation is responsible for:

  1. all accreditation policies and processes, specifically for Professional Bodies and Commercial Organisations.
  2. industry codes of conduct.

This department is responsible for:

  • The definition, policy, processes, for; and processing of Accreditation for Professional Bodies.
  • The definition, policy, processes, for; and processing of Accreditation for Commercial Organisations.

    Other accreditation options may be made available in the future.

  • Maintaining all codes of conduct.

All definitions, policies, and processes have been defined and it is the responsibility of the Accreditation Department is to undertake regular reviews to ensure that the Accreditation requirements and process are in line with current standards expected of accreditation validations within/without the industry.

  • At a minimum, an annual review will be undertaken by the Director in conjunction with the information and feedback provided by Future Industry Direction Department.

  • The Accreditation process for each application will be completed by a fully trained administrator, with the final review conducted by the Director or a senior member of the team allocated the task.

All codes of conduct have been defined and it is the responsibility of the Accreditation Department to undertake regular reviews to ensure that the codes of conduct are in line with current standards, ethics, competencies, etc. for the coaching industry within/without the industry.

The department is responsible for the Finance, HR, and Legal activities of the IRCM CIC.

The IRCM CIC’s Industry Direction Department works closely with all coaching and mentoring industry Stakeholders, Leaders, and Experts; as well, all coaches, mentors, Professional Bodies, Formal Education Bodies, Private Commercial Training Organisations, and Commercial Organisations who are registered on the IRCM CIC’s Directories.

This work is undertaken through the Steering and Advisory Committees, who review the industry challenges, propose, and make relevant changes.

In addition to the Steering and Advisory Committees, the Industry Direction department works with external organisations to recognise the IRCM CIC in its remit.

The Ombudsman Service for the Coaching and Mentoring Industry consumers* is a free and easy to use service that provides each consumer with an independent authority to address grievances, disputes, and/or complaints** in line with current consumer policy.

The Ombudsman Service resolves grievances impartially and fairly.

All work with the Accreditation Department is undertaken by the Executive Director or a senior member of this team or the Administration Department or the Technological Integration Department.

Where senior members of this team are appointed, they must be currently accredited/credentialed by an IRCM CIC Accredited Professional Body.

  • Executive Director
    • Manages the day-to-day workload of the Accreditation Department, ensuring that Accreditation applications are processed in a professional and timely fashion.
    • The annual review(s) will be managed by the Executive Director in conjunction with the information and feedback provided by Future Industry Direction Department and may involve individuals from one or more Departments within the IRCM CIC.

An Executive Director is an appointed or elected member of the Board of Directors who, with other Directors, has the responsibility for implementing the Company’s Policy in line with the Memorandum and Articles.

Unless previously appointed, a Director is not a Member.

A Director does not have to be an employee of the Company.

The company direction is determined by the Members and the Directors.  The company direction is created on the basis of the Memorandum and Articles in conjunction with the Future Industry Direction and Accreditation Departments.

Directors derive their powers from UK Company Legislation and from the Company’s Articles of Association.

Responsibilities and duties:

Executive Directors have a responsibility for a specific ‘department/team’ within the IRCM CIC's Organisation Chart.

The Executive Director is responsible for the Department meeting both the IRCM CIC's and the Departments KPI's.  The Executive Director will structure their department to suit the department requirements.  In this, the Executive Director is responsible for ensuring that the income stream is available for all expenditures required.

  • Represents all elements of the industry and the consumers/buyers.

It is not essential, but desirable that each Director has:

  • Knowledge of the coaching and mentoring industry.
  • An in-depth understanding of the responsibilities of a Regulator.

A Non-Executive Director is an appointed or elected member of the Board of Directors who, with other Directors, has the responsibility for implementing the Company’s Policy in line with the Memorandum and Articles.

It is essential that each Director:

  • Understand the basic principles of company law in the UK.
  • Understand the CIC structure as defined by the UK’s Department for Business, Energy and Industrial Strategy.
  • Has a working knowledge of the Memorandum and Articles.
  • Adheres to the UK Corporate Governance Code.
  • Derives their responsibilities from the Articles of Association.
  • Represents all elements of the industry and the consumers/buyers.

It is not essential, but desirable that each Director has:

  • Knowledge of the coaching and mentoring industry.
  • An in-depth understanding of the responsibilities of a Regulator.

The Financial Reporting Council regulates auditors, accountants and actuaries, and sets the UK’s Corporate Governance and Stewardship Codes.  They promote transparency and integrity in business, and their work is aimed at investors and others who rely on company reports, audits, and high-quality risk management.

The UK Corporate Governance Code FINAL covers the following:

  • Division of Responsibilities
  • Composition, Succession, and Evaluation
  • Audit, Risk, and Internal Control
  • Remuneration

This code was published in July 2018 and in FRC explains that it applies to accounting periods beginning on or after 1 January 2019.  This code places greater emphasis on relationships between the company and its leadership team as well as promoting the importance of establishing a corporate culture that is aligned with the company purpose, business strategy, and promotes integrity and values diversity.
